A message from Mary M. Case

Thanks to all of you who came to the Strategic Planning kickoff meeting on February 2. The energy in the room and the many great ideas that were generated have started us off in grand fashion. We look forward to engaging everyone as the process unfolds. Please take advantage of the opportunities to participate, learn and connect. As a reminder, members of the Team Vision 2025 Task Force are Kate Carpenter, Sandy De Groote, Gwen Gregory, Linda Naru, Bob Sandusky and Andrea Smith. Don’t hesitate to share thoughts and ideas with them.

I did want to let you know that Bob Sandusky will be taking a six-month sabbatical beginning on February 16. Bob will be pursuing a research project on the notion of provenance in digital preservation. While he is away, Tracy Seneca will be Acting Associate University Librarian and Associate Dean for Information Technology and will take on most of Bob’s responsibilities. RAM, however, will be reporting to me during this time.

The Library has just sent a survey to over 3,600 UIC faculty to help us understand their research and teaching needs. Results and recommendations for actions will be reported out later this year.

The first unit head review under our new set of procedures has been completed. I want to thank Gwen Gregory, RAM, for being willing to pilot the process. I also want to thank all of you who participated in some way for taking the time to share your input. The procedures will be updated to clarify some questions that arose and a timeline for upcoming unit head reviews will be developed by HR soon.

I hope you will enjoy this new e-news format for communications with staff. My thanks to Andrea Smith for helping us make this possible.

Best wishes,

University Librarian and Dean of Libraries

Meeting free Fridays!
Image of calendar with no meetings on a Friday

As a result of the December Faculty Retreat, we have decided to try to keep Fridays free of Library meetings. This will allow everyone time to catch up and plan ahead. We recognize that there may already be meetings scheduled or there may be time-sensitive issues that will require meeting on a Friday, but please refrain as much as possible from scheduling Friday meetings.

Exchange online project - email and calendar updates

UIC is currently in the process of migrating to Microsoft’s Exchange Online for all email and calendaring services. This change will help everyone across the University more easily manage their calendar, email, contacts, tasks and notes.

The Library will begin migrating to the new system later this month. All Library departments will be switched over before the beginning of the fall 2017 semester. The project will be completed in two phases:

Phase 1 Email (complete by end of July 2017):

  • Each department will have their existing email moved to the new Exchange Online server and begin using the Microsoft Outlook program or Exchange Online's web interface for email
  • Migration will take place one department at a time
  • The first three departments scheduled to migrate their email are:
    - Library Systems
    - Digital Programs and Services
    - Resource Acquisition and Management

Phase 2 Calendar (Summer 2017):

  • All library personnel will simultaneously switch to the new calendar

Training and Support for Library Personnel

Email and calendaring training will be made available to all Library faculty and staff prior to the migration. Library Systems staff will provide assistance throughout the process. A list of FAQs is available in Box and will be updated on an ongoing basis. In addition, project status updates will be provided and feedback gathered regularly.

Next Step

  • Library Systems staff will contact department heads prior to migration to prepare for a smooth transition

We are excited to make these much needed improvements to our email and calendaring system. Thank you for your cooperation and patience as we complete the transition process.

Electronic resource cancellations

A list of cancelled electronic resources for FY2016 was recently posted to the Library website with the following message to users:

The UIC Library strives to provide the information resources that faculty need for research, teaching and healthcare practice. Our challenge is to acquire essential materials despite decreasing budgets combined with inflation in the cost of library resources.

If you have any concerns, please contact your library liaison.

As always, the library will obtain resources for you via Interlibrary loan if we do not own or lease an item.
